To create you-attitude: talk about the reader, not yourself, avoid talking about feelings, except to congratulate/offer sympathy, use you more often than i in positive situations. Reader doesn"t care if you are happy/bored/etc. Don"t talk about reader"s feelings, can be offensive if it is wrong. Use we when it includes reader, avoid if it excludes reader. Avoid beginning any sentence w/ i: avoid the blaming you in negative situations. Impersonal constructions omit ppl & talk only about things. Explain to readers how subject of message affects them. Put info that readers most interested in first. Good messages apply you-attitude beyond sentence level by using content & organization as well as style to build goodwill. Consider using appendix/attachment for info that reader may want to see but does not directly support purpose. Anticipate & answer questions/objections reader may have. Use headings & lists so reader can find key points quickly.
