Managing Email
●Which media : knowing when you have to use an email or other means of communicaon
●Batch your email: Find the me to deal with a number of emails together
●When to use cc or to use reply all
●Don’t engage in flame mail: don't reply to email that anger you
Components of an Email Message
Subject: introduces the receiver to the content/purpose of your email
Content and Structure:
●Begin with a salutaon
●Might need to introduce yourself
●Open with more details on the subject of the email
Language :
●Avoid text speak
●Avoid abbreviaons
●Check the grammar and spelling
●Avoid using block leers
● Use exclamaon marks sparingly
Attachments:
●Sending documents
●In the email body reference to the aachment and what it contains
Recipients:
●FW (forwarding) :
○Only include on the list people to whom the email is relevant
○Only include those who would be interested in the informaon
○Clarify who’s forwarding what message to whom and for what reason
●CC (Carbon Copy)
○For shring corresponding with those who may need to know
○If someone is menoned in your email you are sharing informaon from this person
●BCC (Blind Carbon Copy)
○Should be used with a great deal of cauon
○Is for people who do not need to know about other recipients
●Reply All
○Only use when your reply is relevant to all those on the list
Sender :
●In your email signature if you are sender should probably include
○Name
○Phone number
○Address
○Other potenally relevant contact informaon
