Document Summary

Letters normally go to people outside of the organization. Memos go to other people in your organization. Letters and memos do not necessarily need to vary in length, formality, writing style, or pattern of organization but they usually do differ in format. Format = parts of the document and the way they are arranged on the page. Two most common formats are block and modified block. Lined up or over to the right. Use the same level of formality in the salutation as you would talking on the phone. Mixed punctuation - colon follows the salutation and a comma follows the close. Open punctuation omits all punctuation after the salutation and close. Subject line tells the reader what the letter is about. They are required in memos and are optional in letters. When you have good news, put it in the subject line. When your info is neutral, summarize it concisely in the subject line.
